WE ARE Here to Help You
Got some questions?
Italy has a complex bureaucratic system, especially for civil or religious ceremonies. While some may think hiring a wedding planner is a luxury, in the case of a destination wedding, it is essential. We often receive last-minute inquiries from couples who have struggled with paperwork or misunderstood local requirements. Many town hall officers in Italy speak limited English, which can lead to misunderstandings. We guide you through the paperwork and ensure everything is completed on time and correctly.
In recent years, we’ve noticed that many couples reach out to us after booking their venues, realizing they are unable to continue with the planning process on their own. Many have made the mistake of booking venues that were too small for their guest list and had to incur extra costs for tent rentals. Others have booked venues without accommodations, assuming their guests would arrange their own transportation, only to find that the additional transfer costs significantly impacted their wedding budget.
For these reasons, it’s crucial to consult with a wedding planner before selecting your venue. While it’s easy to find a venue online, it’s much more difficult to assess whether it’s suitable for the type of event you want and whether it fits within your budget. A wedding planner can help you avoid these pitfalls and guide you towards the best choice for your dream wedding.
To begin the planning process, your wedding planner will need to know details about your wedding size and budget. We will then set up a Skype call to discuss your expectations and needs. Afterward, we will start the venue search based on your preferences. We’ll also handle vendor research, serve as the intermediary between you and the vendors to ensure all agreements are met, and create a timeline to keep everything on track. Additionally, we maintain a budget file to ensure you stay within your desired budget, all while helping you enjoy the planning process stress-free.
Italy offers a wide variety of romantic backdrops for your wedding. From the magical atmosphere of Lake Como, the relaxing Tuscan hills with their olive trees and vineyards, to the stunning Amalfi Coast and the unique romance of Venice. Italy also offers world-class cuisine and fine wines, ensuring an unforgettable reception. You can always find a wedding venue that suits your style, whether it’s a rustic vineyard, a luxury resort, or a quaint chapel.
We are a passionate, energetic, and fun-loving team, dedicated to making your wedding unforgettable. Our goal is to make your big day as relaxing as possible for you, your family, and friends. We have established strong relationships with the best vendors, caterers, florists, and more. With years of experience, vendors trust us and often recommend us to couples. We also keep up-to-date with the latest trends and regulations in the destination wedding industry through annual workshops. As members of the Tuscan Wedding Network, we work with some of the best vendors in Tuscany. No risk to struggle with paperwork or misunderstand local requirements. Many town hall officers in Italy speak limited English, which can lead to problems. We guide you through the paperwork and ensure everything is completed on time and correctly.
Yes, a civil marriage in Italy is legally recognized in your home country if you properly follow the paperwork process. We’ll guide you through the necessary burocracy, and after the legal ceremony, we’ll provide you with a legally translated and certified wedding certificate to register your marriage in your State.
The requirements depend on your nationality, of course you’ll need a valid passport, a declaration of no impediment (proof you’re free to marry), and a few other documents. A translator for city hall meetings and ceremony is compulsory as well as witnesses. If you’re planning a religious ceremony, there are additional steps. It’s important to work with your planner to ensure all paperwork is completed properly.
Some venues will be allowed by the townhall of reference, but not all. Your planner will know which venues can offer this service. The paperwork process will be the same, and you will still have to schedule a meeting at the townhall a couple of days before the actual wedding, with an italian/english speaking translator to complete the request and sign some papers. The ceremony will in any case always be held in double language, with the city representative to celebrate in italian and the interpreter that will translate in english for you and your witnesses. In some cases you will be allowed to add readings and partially customize the ceremony.
It is definitely possible to have a religious ceremony in Italy for a destination wedding, but the specifics depend on the type of ceremony you’re interested in and the region you’re getting married in. We have followed Catholic, Protestant, Sikh, Hindu, Zorastrian and many other types of religious ceremonies in the past.
Many couples opt for a symbolic ceremony conducted by a celebrant. If you’re not looking for a legally binding ceremony, or if you don’t meet the religious requirements, this is the easiest solution. This allows you to marry in any beautiful location without the legal or religious constraints and stress. It can still be a deeply spiritual experience, but without the need for the complex documentation or the legal framework.
You can decide to hire a professional english speaking celebrant or involve some of your closest friends/family members. In any case it is the celebration of your love.
No special visa is required for a wedding. However, if you’re planning to stay in Italy for an extended period, you may need a tourist visa or a longer stay visa depending on your nationality.
Typically, booking 12 to 18 months in advance is recommended, especially if you’re planning to marry in popular months (like spring or summer). This usually allows enough time to secure your venue, vendors, and ensure everything is legally arranged. For highly requested venues 18-24 months will be needed.
The best time to get married in Italy depends on what kind of experience you’re looking for. Generally from April to October the weather is pretty mild, with June and July being the most popular for destination wedding. Spring weather can be uncertain, but the countryside is lush, and flowers are in full bloom. In Summer (in particular August) temperatures can be very hot during the day, especially in southern Italy. Autumn is another excellent time for a wedding. The weather is still warm but more comfortable than the peak summer months, and the vineyards are beautiful as they transition into harvest season. It’s a more relaxed time to get married compared to the busy summer months. December and January an be perfect for couples who love winter, mountains with snow, and a cozy atmosphere.
Most of the times a destination wedding will consist in three days: an informal welcome get together party on the first night, the actual wedding celebrations on the second day and a farewell pool brunch on the third day. This is the most common structure, but we had the chance to also plan longer events as our clients love to spend time in Italy and to spoil their guests.

While it may seem natural to choose a venue first, this is one of the most common, and costly, mistakes we see in destination wedding planning.
Without the guidance of an experienced wedding planner, it can be difficult to evaluate all the logistical aspects a venue must support. Elements such as guest flow, access times, setup and breakdown schedules, plan B capacity, vendor restrictions and technical requirements are often overlooked when a venue is selected independently.
As planners, we are frequently asked to step in after a venue has already been booked, only to discover that it does not fully support the needs of the event. This can result in unexpected additional costs and complex last-minute solutions, for example, renting large tent structures because the indoor backup plan is not sufficient, or facing strict access limitations that affect setup and dismantling timelines.
When involved from the beginning, a wedding planner can assess whether a venue truly fits your vision, guest count, budget and event design, helping you avoid unnecessary stress and expenses and ensuring a seamless planning experience from the very start.
If you’d like to explore whether your venue truly fits your vision, we’re here to help.

It’s always better to be thinking ahead. We always suggest to start pretty soon, not only because it is important to coordinate all the details. Typically, it’s recommended to start designing your stationery about 6–9 months before the wedding date. This gives you ample time to:
-Choose your design style – Whether you’re going for a classic, modern, rustic, or themed wedding, having time to reflect and narrow down your vision is key.
-Send save-the-dates – 12-11 months before the wedding, even if just digital;
-Create invitations suite – Formal invitations usually go out 8-6 months before the wedding if you sent a save the date, so you’ll want to finalize the design and have it printed well ahead of time so you don’t have to rush when the time for sending comes.
-Plan additional stationery – Things like ceremony programs, seating cards, menus, and thank-you cards can be designed in tandem or after the invitations.
Designing early gives you room to adjust things if you need to make changes (it happens!). The day-of stationery printing can be finalized one month before the event, while for the seating chart we suggest to wait 10 days before the event, to face eventual last minute changes needed.
Yes, we can also provide a skilled professional calligrapher, but of course as it usually requires more time make sure you let us know in advance so we can reserve your spot. Depending on your request we can eventually provide a custom proposal.

Choosing the best venue for your destination wedding in Italy is one of the most important decisions in the planning process. Italy offers a stunning variety of options, from historic villas to seaside resorts, vineyard estates to mountain retreats. The right venue will reflect your vision, style, and personal tastes, and will also provide the perfect backdrop for your special day. Creating a mood board on Pinterest or Instagram can help us define your aesthetic and narrow down what type of venue would best reflect your vision and budget.
When planning a wedding or any event in Italy and intend to use copyrighted music, it’s important to factor in the cost and process of obtaining a SIAE license. This is the case even if the music is played through a DJ, a live band, or just a playlist from your phone or computer. SIAE is the official organization authorized by the Italian government to manage music licenses. By paying the SIAE fee, you’re respecting the intellectual property rights of the music creators who made the songs you love and want to feature on your big day. Failure to obtain the proper license can lead to fines or penalties. SIAE charges are calculated based on the specifics of your event. Our wedding planners will help you navigate this.
